The Venue Sourcing Specialist is part of Cvent’s Professional Services / Managed Services team, supporting customers’ global meetings and event management strategy by leading the supplier procurement process.

This role leverages an expert-level understanding of Cvent’s Vendor Marketplace powered by Reposite and related tools to ensure customers realize the full benefits of Cvent software, including process adherence, contract compliance management, and effective negotiation.

In addition to serving as the primary liaison between stakeholders, suppliers, and internal Cvent teams to deliver first-class service and measurable business outcomes, the Specialist will also act as a liaison to the Product team with a focus on discovering and validating new products, testing workflows, and defining requirements for future development.


In This Role, You Will:

  • Deliver first-class customer service in line with customer objectives, across a range of event types (e.g., board meetings, leadership dinners, trainings, team building, offsites) and time zones.
  • Conduct vendor sourcing through Cvent’s Vendor Management platform powered by Reposite, providing proposals and recommendations to meeting sponsors/planners.
  • Verify program specifications on a program-by-program basis with the meeting sponsor/planner to ensure accurate requirements prior to sourcing and contracting.
  • Act as liaison with the meeting sponsor/planner and vendors
  • Assess venue and supplier suitability in line with customer policies, budgets, safety, accessibility, and other program requirements.
  • Lead rate and commercial negotiations, including concessions, cancellation, attrition, rebooking terms, and commissionability, to optimize customer savings while supporting overall program and margin goals.
  • Manage contract coordination and execution, partnering with hotels, customers, and Procurement/Legal teams to ensure inclusion of required legal, risk, and compliance clauses and proper execution flow.
  • Track and report cost savings at both event and aggregate program levels, leveraging Cvent and related tools to surface value delivered to the customer
  • Maintain thorough documentation and record-keeping to support full auditability and compliance (e.g., contracts, approvals, savings, deviations, key decisions).
  • Respond to webforms and related intake channels as necessary to ensure requests are triaged and fulfilled within agreed timelines.
  • Collaborate with marketplace health and internal sourcing teams to ensure full-service RFPs are sent to the correct suppliers, receive an adequate number of responses, and meet customer deadlines.
  • Coordinate with Hospitality Cloud Sales and other internal stakeholders to identify and onboard new suppliers that support customer program needs.
  • Partner with Account Management and other Cvent teams to drive long-term customer program success through regular interactions and continuous improvement initiatives.
  • Act as a bridge between client operations and product/engineering, sharing insights from real-world sourcing workflows.
  • Collaborate with Product Management and User Experience to surface customer- and user-driven insights, identify workflow or feature gaps, and proactively recommend enhancements that inform the product roadmap.
  • Work on multiple concurrent projects and priorities while maintaining high quality and adherence to timelines.
  • Perform other duties as assigned in support of Reposite initiatives and the broader Managed Services and Professional Services teams.
  • Work flexible hours as needed to support global accounts and distributed teams.

Here's What You Need:

  • 3–5 years of experience in hotel/venue sourcing and meetings contracting (e.g., agency, TMC, or hotel sales background).
  • Strong knowledge of destinations, meeting/event venues, destination management companies, and other meeting and event suppliers.
  • Familiarity with corporate travel and meetings policy compliance and Procurement involvement in sourcing and contracting.
  • Strong commercial and negotiation skills (rates, concessions, cancellation/attrition, rebooking).
  • Comfort working with contracts and legal language, and the ability to partner with Legal and Procurement teams to resolve issues.
  • Working knowledge of Reposite management tool and Cvent Supplier Network, where available.
  • Intermediate knowledge of Microsoft Excel (data management, form building, and fillable document creation) and proficiency in other MS Office applications.
  • Proficiency with back-end tools such as Airtable
  • Demonstrated aptitude for process improvement and tooling (comfortable documenting workflows, proposing product requirements, and collaborating with product/engineering)
  • Experience supporting global programs and time-zone–distributed stakeholders.
  • Strong organizational and time management skills, with the ability to manage multiple projects and responsibilities while maintaining high quality standards and meeting tight deadlines.
  • Strong communication skills through all mediums with a proven ability to build and maintain relationships with stakeholders.
  • Proven problem-solving project management skills, with a strong commercial mindset.
  • Proven analytical skills with consistently high attention to detail and accuracy in spelling and grammar.
  • Demonstrated personal integrity, initiative, and accountability, with resourcefulness in identifying process improvements and following through to implement them.
  • University Degree or equivalent event management experience.
